# 1: Who is the administrator (controller) of your personal data?

The administrator of your personal data is the Krakow University of Economics (KUE/UEK) with its registered office in Kraków, at number 27 in Rakowicka street, 31-510 Krakow. .

# 2: Who can you contact in all matters regarding the processing of your personal data?

# 3: Which of your personal information do we store and process?

Depending on the purpose, we may process the following information about you:

  • your first name and last name
  • your e-mail address
  • your phone number
  • the faculty, your field of study and year of study at KUE
  • data contained in our e-mail correspondence

In Appendix 1 to the present Privacy Policy, you will find categories of personal data assigned to specific, individual purposes of data processing. We use tools that collect a range of information about you, which is related to the ways you use our website. This includes, in particular, the following specific information:

  • information about your device, the operating system, and web browser that you are using, as well as your user ID
  • your IP address (subject to shortening and anonymization), the date of your visit to the website
  • the subpages that you have viewed, the time you spent browsing/using the website
  • switching between individual subpages, clicking the mouse or touching the screen
  • clicks on specific, individual links
  • the source from which you enter our website, your age range, your gender
  • your approximate location (limited to the town or city)
  • your interests based on your online activity

This kind of information is referred to in the present Privacy Policy as “Anonymous Information”.

It is our considered opinion that the Anonymous Information in itself does not have the nature of personal data, because it does not allow us to identify you, and because we do not compile it with typical personal data that we collect about you. Nevertheless, taking into account the strict jurisprudence of the Court of Justice of the European Union, coupled with the divided opinions among the lawyers, as a precaution – in the event that Anonymous Information is assigned the nature of personal data – we have also included in our Privacy Policy detailed explanations regarding the processing of this kind of information.

We are unable to provide you with access to Anonymous Information collected about you, for the reason that we cannot assign any Anonymous Information to any specific user. From the level of tools, which collect such Anonymous Information, we can only view a set of statistics and information that is not assigned to specific persons. Moreover, in the case of some of the tools, we do not have access to the information collected by these tools at all, as we are only interested in the proper functioning delivered by that specific tool rather than the actual information it gathers. For instance, the specific plug-in may be collecting some information, but
this information is not made available to us in any way, and we have no interest in knowing the content of this information, as we are concerned only with the specific functionality of the plug-in (for instance, sending the newsletter format) and that it should be working properly. The processing of Anonymous Information makes it possible to provide you with the possibility of using the functionalities available within the website. In addition, Anonymous Information is used for analytical, statistical and marketing purposes, such as setting and targeting advertisements.

Since Anonymous Information is collected by external tools that we are using, that Anonymous Information is also processed by the providers of those tools, on the terms resulting from their own regulations and privacy policies.
Anonymous Information is also used by the providers of individual, specific tools, in order for them to provide and improve their services, manage these services, develop new services, measure the effectiveness of advertisements, protect against fraud and abuse, as well as personalize content and advertisements displayed on individual websites,
web services, and apps.

The tools that we use, which are related to the collection of Anonymous Information, are listed in Appendix 2 to this Privacy Policy.

# 4: Where do we get your personal data from?

In the majority of cases, you provide it to us yourself. This happens when:

  • you contact us via e-mail
  • you subscribe to receive our newsletter
  • you sign up for an event, a training session, a workshop or a consultation conducted by the KUE Academic Career Center (ACK)
  • you follow our profiles in social media or you interact with the content that we are publishing in our social media

In Appendix 1 to this Privacy Policy, we have assigned the source of data acquisition to each of the specific purposes of data processing. In addition, some information about you may be automatically collected by the tools that we use.

# 5: Is your data safe?

We care about the security of your personal data. We have analyzed the risks associated with individual, specific procedures within the processing of your data, and then implemented appropriate security measures and personal data protection measures. We monitor the condition of the technical infrastructure on an ongoing basis, we train our staff, we look at the procedures used, and we introduce the necessary improvements. # 6: For what purposes do we process your personal data?

The various purposes of processing your personal data are listed in Appendix 1 to the present Privacy Policy.

# 7: How long are we going to keep your personal information for?

The periods (durations) of data storage are indicated separately for each purpose of data processing. You will find this information in Appendix 1 to the present Privacy Policy. Most of the data is deleted after the expiration of the limitation period for claims, while the limitation period for claims may vary in the light of applicable laws and regulations (for instance, in the case of entrepreneurs it may be 3 years, and in the case of consumers, it may be 6 years).

# 8: Who are the recipients of your personal data?

We will venture to say that modern business cannot do without services provided by third parties. Necessarily, we also use such services. Some of these services involve the processing of your personal data. External service providers that are involved in the processing of your personal data are:

  • an entity providing technical support services that accesses data if the technical work that they need to carry out relates to areas where personal data is located
  • other subcontractors who gain access to data if the scope of their activities requires having such access

All the entities listed above process your data on the basis of personal data processing agreements concluded with us, and they all guarantee an appropriate level of personal data protection.

If necessary, your data may be made available to a legal adviser or advocate bound by professional secrecy. The need may result from the necessity to obtain legal assistance that requires access to your personal data.

Moreover, when it comes to Anonymous Information, such information is available to providers of tools or plug-ins that collect the said Anonymous Information. The providers of these tools are independent administrators of the data collected in and by those tools, and they may share the data in question on the terms set out by them in their own regulations and privacy policies, which we have no influence upon.

# 9: Do we transfer your data to third countries or international organizations?

No, the data we collect is not transferred to third countries or international organizations. However, we do use third-party tools that may collect Anonymous Information. We have already mentioned this fact several times in the present Policy, including in the answer to the previous question. The providers of these tools often use servers located around the world in order to store the collected information, in particular in the United States of America (USA).

# 10: Do we use profiling? Do we make decisions based on automated processing of your personal data?

No, we do not use profiling, nor do we make decisions based solely on automated data processing that would have legal effects for you, or that would affect you in a similarly significant manner.

We wish to emphasize that as part of the tools we use, we only have access to Anonymous Information. This information is stored on the servers belonging to the providers of individual, specific tools, and these servers may typically be located anywhere around the world.

# 11: What rights do you have in connection with the processing of your personal data?

The GDPR grants you the following potential rights related to the processing of your personal data:

  • the right to access your data and to receive a copy thereof, the right to rectify (correct) your data;

  • the right to delete data (if in your opinion there are no grounds for us to process your data, you can request that we delete it);

  • the right to limit data processing (you can demand that we limit the processing of data only to the storage of that data or to performance of only those procedures or actions that have been agreed with you, if in your opinion we have incorrect data or we process that data in a unjustifiable manner);

  • the right to object to data processing (you have the right to object to data processing on the basis of a legitimate interest; you should indicate a particular situation which, in your opinion, justifies us ceasing the processing of data covered by the objection; we will then stop processing your data for these purposes, unless we demonstrate that the grounds for data processing by us override your rights, or – that your data is necessary for us to establish, pursue or defend claims);

  • the right to transfer data (you have the right to receive from us – in a structured, commonly used machine-readable format – your personal data that you provided to us on the basis of a contract or your consent; you can order us to send this data directly to another entity);

  • the right to withdraw your consent to the processing of your personal data, if you have previously given such consent; the right to lodge a complaint with the supervisory authority (if you find that we process your data unlawfully, you can submit a complaint to the President of the Office for Personal Data Protection or other competent supervisory authority).

The rules related to the exercise of the above-mentioned rights are described in detail in Article 15-22 of GDPR. We encourage you to familiarize yourself with these regulations. For our part, we consider it necessary to explain to you that the above- mentioned rights are not absolute, and you will not be entitled to exercise all of the above in connection with the activities of processing your personal data.

We wish to emphasize that you can always exercise one of the rights indicated above, namely: if you believe that we have violated the provisions on the protection of personal data when processing your personal data, you can lodge a complaint with the supervisory body (President of the Office for Personal Data Protection).

You can also always ask us to provide you with information about which data we have about you and for what purposes we process it. All you have to do is send a message to: iod@uek.krakow.pl. However, we have made every effort to ensure that the information you are interested in is comprehensively presented in the present Privacy Policy. You can also use the e-mail address provided above in case of any questions related to the processing of your personal data.

# 12: Do we use cookies and what are they, exactly?

Our website, like nearly every other website, uses cookies.

Cookies are small-sized text information stored on your terminal – that is the device you are using (e.g. computer, tablet, smartphone), which can be read by our ICT system (own or first-party cookies) or by the ICT systems of third parties (third-party cookies). Cookie files may contain and store specific information, which can then be accessed by ICT systems for specific purposes.

Some of the cookies we use are deleted after the end of the web browser session, i.e. they expire after the browser is closed (so- called session cookies). Other cookies are stored on your end device and they enable us to recognize your browser the next time you visit the website (persistent cookies).

Please remember that disabling or limiting the use of cookies may prevent your access and effective use of some of the functions available on our website, and it may cause difficulties in using the website in question, as well as many other websites that use cookies. For instance, if you block cookies of social plug-ins, buttons, widgets and social functions implemented on the website may not be available to you.

Yes, you can manage cookie settings in your web browser. You can block all or only selected cookies. You can also block cookies for specific websites. You can also delete previously saved cookies and other website and plug-in data at any time.

Web browsers also offer the option of using incognito mode. You can use it if you do not wish for the information about visited pages and downloaded files to be saved in the browsing and download history. Cookies created in incognito mode are deleted when all incognito-mode windows are closed.

Furthermore, there are tools available on the Internet that allow you to control certain types of cookies, in particular the cookies used for collective management of behavioral advertising settings (e.g. www.youronlinechoices.com/, www.networkadvertising.org/choices).

Please remember that disabling or limiting the use of cookies may prevent you from using some of the functions available on our website, and that it may cause difficulties in using our website, as well as many other websites that use cookies. For example, if you block social network plug-in cookies, the buttons, widgets and social functions implemented on our website may not be available to you.

# 15: For what purposes do we use first-party cookies?

Our own (first-party) cookies are used to ensure the proper functioning of specific, individual website mechanisms, such as the correct submission of forms visible on the website.

Our own cookies also store information about your consent to cookies.

# 16: What third-party cookies are used?

These are listed in Appendix 2 to this Privacy Policy. Specific, individual tools may use more than one cookie file, but we refrained from listing them in detail, not wanting to overwhelm you with excess information, and assuming that it will be clearer for you to use the list of tools along with specifying the purposes of using these tools than listing all cookies technically functioning within individual tools.

We also refrained from indicating the scope of information collected in the cookies in relation to each tool used, considering that each tool collects information related to your characteristics and behavior (actions undertaken) within our website. In this respect, we are dealing with Anonymous Information, which we mentioned and explained earlier in this Privacy Policy.

Being mindful of the requirements created by the Court of Justice of the European Union, we nevertheless refrained from indicating the lifetime of cookies used by individual, specific tools. In order to reliably determine the lifetime of each cookie file, we would have to overwhelm you with excessive information that would not in any way implement the principle of transparency and readability of information addressed to you. In addition, the lifetime of cookies may be subject to active changes on the part of tool providers to such extent that we are unable to exercise reliable control over it. Whereas refraining from determining the lifespan of cookies, we would like to remind you that the only option to really control the time of storing information in cookies is for you to manage cookies directly yourself. You can delete cookies stored on your device at any time, directly from your web browser.

At this point, we would like to emphasize once again that through cookies, we do not have access to information that would allow us to identify you. In this respect, we are dealing with Anonymous Information, which we have mentioned and explained in this Privacy Policy.

Moreover, while in the case of statistical and marketing tools we can view various types of reports generated on the basis of Anonymous Information, in relation to other tools we do not get any access whatsoever to the information collected in cookies, being only interested in whether the functions of a given tool – for which the tool has been specifically installed – work properly within our website.

# 17: Do we track your behavior while browsing or using our website?

Yes, we use tools that collect information about your activities on our website. These tools are listed in Appendix 2 to this Privacy Policy.

# 18: Do we target you with directed (targeted) advertising?

No.

# 19: What are the ways in which you can manage your privacy?

The answer to this question can be found in many places of this Privacy Policy – whenever we describe specific, individual tools, behavioral advertising, consent to cookies, etc. Nevertheless, for your convenience, we have collected all this information again in one place. Below you will find a list of options to manage your privacy.

  • browser plug-ins supporting cookie file management, e.g. Ghostery, additional cookie file management software;

  • incognito mode in the web browser;

  • behavioral advertising settings, for instance, youronlinechoices.com;

  • settings on the part of external tool providers (links to settings have been collected and included in Appendix 2 to this Privacy Policy).

# 20: What are server logs?

Using the website involves sending queries to the server on which the website is stored. Each query addressed to the server is saved in the server logs.

The logs include, for instance, your IP address, server date and time, information about the web browser and the operating system that you are using. The logs are saved and stored on the server.

The data stored in the server logs is not associated with specific people using the website, and is not used by us to identify you.

Server logs constitute merely auxiliary material used to administer the website, and their content is not disclosed to anyone except persons authorized to administer the server.
